Objective signs another government contract in South Australia with Department of Premier and Cabinet

 • 26 May, 2004 10:02

The South Australian Department of Premier and Cabinet (DPC) has selected a electronic document and records management solution (EDRMS) from Objective Corporation (ASX:OCL) to underpin its information-intensive operations and to provide the ability for all staff to easily and securely share information across its diverse organisation.

The lead portfolio in the South Australian government, the DPC comprises 5 core divisions: Cabinet Office, Social Inclusion Unit, Strategic Projects, Corporate & State Services Division and Arts SA plus the Office of the Commissioner for Public Employment. Additionally, the department oversees numerous statutory authorities and independent agencies. These varied groups all work together in the DPC’s mission to support the Premier as head of Government and the Cabinet, contributing to the economic, cultural and environmental development of the State.

Supporting the Premier and Cabinet in its role requires access to a vast array of information, often in a time-critical fashion. Further, the high profile of the DPC results in large quantities of Freedom of Information requests and responses to Ministerial correspondence.

“The department’s demand for accurate and timely access to information is integral to supporting the department’s records management requirements,” said Mr Darryl Treasure, General Manager, State Services, DPC.

The DPC was seeking a solution that would improve the speed and efficiency of managing correspondence and documentation processes as well as assist it meet legislative requirements of the State Records Act 1997, the Freedom of Information Act 1991 and the Electronic Transactions Act 2000.

Following an exhaustive tender and evaluation process, the DPC selected Objective.

“Objective was best able to meet our business requirements to manage and track both physical and electronic documents within the same solution, whilst maintaining security, integrity and confidentiality of information,” said Mr Treasure.

Each of the individual divisions of the DPC regularly interact through forwarding information contained in electronic documents, physical documents and emails, much of which is considered confidential in nature. It therefore needs to be appropriately recorded, tracked and securely maintained. It is a laborious and often time-consuming process, yet crucial in its purpose of providing the Premier with timely, accurate and complete information required to lead the government and the state.
The enterprise implementation of the EDRMS will underpin the majority of the DPC’s business processes.

“The ability for people to share documents across divisions and maintain uniformity of corporate documentation is essential in being able to deliver high quality services throughout the department,” said Mr Treasure.

In addition to selecting a solution that delivered the required information management and security functionality, the DPC sought a solution that was intuitive and easy for people to use.

“As with any enterprise software application, user acceptance and uptake of the new solution will be key to a successful roll-out.”

“The EDRMS will affect all staff within the Department, the easy to use interface and the ability to incorporate Objective into the regular activities of a general business user will help facilitate user acceptance,” said Mr Treasure.

The contract with DPC follows Objective’s announcement last month of an enterprise contract with the South Australian Department of Treasury and Finance.

Mr Tony Walls, CEO Objective Corporation, said: “Being trusted by the South Australian government’s lead departments carries a significant amount of prestige and responsibility.

“Objective’s experience in delivering enterprise content management solutions in large-scale, high security environments was favourably considered by both departments.

“This reputation continues to clearly differentiate Objective from its competition in mission-critical, enterprise content management projects, globally,” said Mr Walls.
